Thank you for renewing your policy with Plan Insurance and for taking the time to speak with me yesterday afternoon regarding your feedback. Your comments suggested that you were dissatisfied with the way that your renewal was handled, however you have today re-iterated the fact that you are happy and you are pleased with the service that has been provided. You are however upset that since renewing your policy, the procedure to which we collect our customers signed mandates and finance agreement has changed. Like any growing business our customer’s demands have increased and with this, we have had to update the way that we handle our administration of the policies. We now have a lot of contact with customers via email and it is now the companies policy to email all documentation at renewal and new business. In previous years your direct debit forms would be posted, signed and returned to us, however they are now provided via email and you can e-sign the document within a couple of minutes. There is then no potential delay in the post, no unnecessary letters and no irritating calls from us to our customers, chasing such documentation. We have currently had an extremely positive reaction from our clients and we are pleased with the general feedback that we have received. We do however appreciate that not every customer will have access to email and therefore these individuals will continue to receive paperwork in the post. As you would prefer on this occasion to receive your direct debit form in writing, then I will arrange for them to go in the post to you, first class today. I believe now this has been explained, you are happy with the service therefore if you could respond accordingly to a new feedback request you will shortly receive that would be much appreciated.
